Training Portal User manual

Training Portal User Manual

For learners, supervisors and company admins. Updated October 30, 2026.

About this manual

Training Portal trains employees with short videos followed by quizzes, and issues a certificate when a course is passed or completed. Each company has its own private area; no company can see another company's people or records.

Every page of the portal has a Help link that opens this manual at the part about that page.

Find your role in the table and read that part. Everyone can use How things work and Troubleshooting at the end.

System admins, the JGE staff who run the portal, have their own manual: System Admin Manual.

The company's address. Every company signs in at its own address: the portal's address followed by the company's sign-in path, for example training.awgoinc.com/valleverde. The sign-in page shows the company's name and logo. Bookmark it on shared phones and tablets.

Languages. Learner screens and emails are in English or Spanish, set per person. Admin and supervisor screens are in English.

Examples in this manual use the fictional sample company Valle Verde Packing and its people.

For learners

You watch each video in a course, take its short quiz, and get a certificate when the course is done. Everything works on a phone, a tablet or a computer.

  1. Open your company's address (your supervisor gives it to you).
  2. Enter your username, then your 4-digit PIN. If you were given a password instead, choose Sign in with a password.
  3. Choose Sign in. You land on My training.

After 4 wrong PINs in a row your account locks. Ask your supervisor to unlock it or give you a new PIN. Use Sign out when you finish on a shared device.

Signed out when idle. If you leave the portal alone for 10 minutes, it signs you out, so the next person on a shared phone or tablet does not train under your name. The sign-in page says why. Sign in again and carry on: what you already watched and passed is kept. Watching a video counts as activity.

My training

My training lists the courses you still have to finish, each with its due date and how many videos you have done. Choose Start or Continue to open a course. Below it, Completed lists finished courses with the result and the date the result is valid to.

A course marked "Overdue since" is past its due date. Finish it as soon as you can.

Watch a video

  1. Open the course and choose Watch next to a video. Videos can be watched in any order.
  2. Watch until the progress bar reaches the required amount (for example 90%). The page tells you how much is left.
  3. When you have watched enough, Take the quiz opens.

Good to know:

Captions. If a video has captions, the player shows a CC button. If you read Spanish and a video has no Spanish version, Spanish captions come on by themselves when the video has them.

Take the quiz

  1. Choose Take the quiz. Questions come one at a time; pick an answer and choose Next question.
  2. After the last question choose Finish the quiz.
  3. The result shows your score, the score you need (for example 80%), and the reason behind each question you missed.

If you do not pass, you can try again after a short wait (the page shows the time). A new set of questions is drawn each time. The number of attempts is limited (for example 3); the page shows "Attempt 2 of 3".

Your result

When every video in the course is done, the course is finished with one of three results:

ResultWhat it meansCertificate
PassedYou passed every quizCertificate of Passing
CompletedYou did not pass every quiz, but your average score met the company's required averageCertificate of Completion, with your average score
Finished, not passedYour average score was too lowNone. Ask your supervisor; the course can be assigned to you again

Your certificates

The Certificates tab lists every certificate you have earned, with its serial number, the date it expires and Download PDF. When a certificate is about to expire, the course is assigned to you again so you can renew it.

Below your certificates, Training in person lists the sessions your company recorded for you, such as a toolbox talk, with the date and the trainer. Certificates download in your language (English or Spanish).

Emails you may get

If your company has your email address, you may get: a welcome email with your sign-in address and username (never your PIN), a note when a course is assigned, a reminder before the due date, an overdue notice, and a renewal notice. They come in your language.

For supervisors

You follow the learners in your own groups: who is behind, who finished, and who needs help signing in. You cannot assign courses or change settings; the company admin does that.

Sign in at the company's address with your username and password. Your menu, My groups, has five pages.

Help a learner who cannot sign in

  1. Open My learners and find the learner.
  2. If they are locked out, choose Unlock. They can try their PIN again.
  3. If they forgot their PIN, choose New PIN. The new PIN shows once on the screen; give it to the learner. The old PIN stops working, and the account is unlocked too.

You can only help learners in your own groups. Every unlock and new PIN is written to the company's activity log.

Send reminders

On Overdue, choose Remind next to a learner, or Remind all at the bottom. Only learners with an email address on file get one, and each learner gets at most one reminder a day. Learners without an email address show "No email: remind in person".

Your summary email

If you have an email address on file, you get a summary of your groups daily or weekly (Monday), whichever the company chose. It lists who is overdue (marking those to remind in person), how many finished, and certificates expiring in the next 30 days. No summary is sent when there is nothing to report.

In-person training and training records

In-person training (in your menu) lists the sessions that include people in your groups. To record a talk or hands-on session you gave, choose Record in-person training: what it covered, the date, the trainer, the length, who attended (tick people, or a whole group) and a scanned sign-in sheet if you have one. Tick the confirmation: you sign it off. You can change or delete the records you made; a company admin can change any.

Training record. On My learners, Record next to a learner opens their training record: every course and every in-person session, with Download PDF for an auditor. Training records (PDF) puts everyone in a group in one file.

For company admins

You run training for your company: you add people, assign courses, follow progress, and print certificates. Sign in at your company's address with your username and password.

Getting started

  1. Company profile: check your company name, contact, time zone and the certificate signature line; upload your logo.
  2. Company settings: set your own pass mark, attempts, reminders and summaries if the defaults do not suit you.
  3. Groups: create your crews or departments (for example Packing Line A, Sanitation Crew).
  4. Supervisors: add your team leads and give each their groups.
  5. Learners: add people one by one or import a CSV file.
  6. Assign: give a course to a group, to chosen learners, or to everyone, with a due date.

Dashboard

The home page shows active learners, overdue assignments, courses completed this month, certificates expiring in 30 and 60 days, overdue by group, completion by course, and seats used. Select a number to open its list.

License notice. From 30 days before your license ends, a notice at the top of every page gives the end date (unless the renewal is already entered). If the license ends without a renewal, there are 14 days of grace; after that no one at your company can sign in until it is renewed. Contact your account manager in time.

People

Learners

Employee numbers. Enter your company's employee number for each learner if you use Continuum FS: it matches its employees' training records on that number. A number can belong to only one person in your company. It shows on the Learners page and on the training record.

Groups. Add, rename, and add or remove members. A learner belongs to one group. A group can be deleted only when it is empty and was never used for an assignment.

Supervisors. Add a supervisor (their password shows once), choose their groups, edit, reset the password, unlock or deactivate. Supervisors see only their own groups.

Locked accounts. Everyone who is locked out, with Unlock and New PIN.

Every active person (learner, supervisor or admin) uses one seat of your license. The license and seats show on Company profile; to change them, contact your account manager.

Training

My courses lists the courses your company can use.

Assign a course

  1. Open Assign and choose the course.
  2. Choose who gets it: a group, chosen learners, or all learners.
  3. Set a due date if you want one.
  4. Choose Check who gets it. The page shows who will get it and who is skipped: anyone who already has the course open, or a result that has not expired.
  5. Confirm with the Assign to button on the right, which shows how many learners get it. Nothing is assigned before that. Learners with an email address get a note.

Assignments lists each time a course was assigned. Open one to tick assignments and change their due date, or remove ones that were not started yet.

Progress shows, for each course, every learner's watched percentage and best score per video, attempts used and status. Filter by group and status and export CSV. Open a learner to see every quiz attempt; you can also open a finished attempt to see the answers given.

Overdue lists every assignment past its due date with days late and progress. Choose Remind for one learner or Remind all; each learner gets at most one reminder a day. Export CSV for the morning huddle. To give someone more time, change the due date on Assignments.

When a course ends "Finished, not passed": assign the course to that learner again (from Assign, or Assign the course again on their results). It is a fresh start with full attempts; the old record stays.

Records

Certificates lists every certificate. Search by name, serial or code; filter by course and status (valid, expiring within 30 days, expired, revoked); export CSV. Open a certificate to:

Language. Before printing or downloading, choose English or Spanish. The learner's own language is chosen first, and the print log notes a Spanish copy.

Every print and PDF is logged with who and when, and the paper shows its print number.

Training matrix shows learners against courses, each cell the latest result. Filter by group and export CSV.

Activity log lists everything that happened in your company, in plain words: who, what, when and details. Filter by action, person or dates, and export CSV. The Emails sent tab lists the last 200 emails to your people and whether they went out.

In-person training

Training > In-person training lists every session recorded: toolbox talks, hands-on sessions, anything taught face to face. Export CSV gives one row per person.

  1. Choose Record in-person training.
  2. Fill in what the training covered, the date (today or earlier), the trainer, and, if you like, the length, the place and notes.
  3. Tick who attended. Find narrows the list by name; Tick a whole group ticks everyone in a group.
  4. Attach the scanned sign-in sheet (PDF, JPG or PNG, up to 10 MB) if you have one.
  5. Tick "I confirm these people attended this training" and choose Save and sign off. Your name and the time are kept with the record.

Open a session to change it or download the sheet. Delete record is for a record made by mistake; give the reason, which the activity log keeps.

Training records for an auditor

Learners > a learner > Training record shows every course given to that person (result, score, dates, certificate serial) and every in-person session. Download PDF gives the same on paper, for an auditor or the employee's file. On the Learners page, Training records (PDF) gives one PDF with a page per person, for one group or everyone (up to 300 people; choose a group if you have more).

Settings

Company settings. Each row shows the system default, your own value and the value in use. Leave a number empty to use the default. Settings locked by your training provider show "Cannot be changed". Required watching can only be raised. Changes apply to quizzes and watching started after you save; results already recorded keep their rule.

Two settings sign people out when they leave the portal alone: learners after 10 minutes (for shared phones and tablets), supervisors and admins after 30.

Email wording. Every email in English and Spanish. Choose Edit to write your own subject and text; words in braces such as {first_name} are filled in when sent. Use the standard wording goes back. An email your training provider locked cannot be changed.

Company profile. Company name, contact, default learner language, time zone (used for due dates and summaries), certificate signature line (for example "Dana Whitfield, Training Manager"), and the logo (PNG or JPG, up to 1 MB, shown in your portal and on certificates).

Continuum FS connection (on Company profile). A key lets Continuum FS read your training records: people, course results, certificates and in-person training. Give the key a name, choose Make a key, and copy it at once: it is shown only once. Enter it in Continuum FS with the address shown on the page. Revoke a key you no longer use; from then on it reads nothing. A key can only read, never change, and only your company's records. Continuum FS picks up changes each night, and whenever someone chooses Refresh now in Continuum FS: new results and certificates, in-person training, changed due dates, and assignments you remove (they disappear there too).

How things work

A course ends in one of three results once every video in it is done, and the result decides the certificate.

Every course ends in one of three results; two earn a certificate Every course ends in one of three results; two earn a certificate Course assigned Watch a video Quiz passed? Attempts left? Video done Every quiz passed? Passed Certificate of Passing Average high enough? Completed Certificate of Completion Finished, not passed until enough is watched No certificate yes no yes: wait, then retry no: out of attempts next video all videos done yes no yes no assign again renewal: assigned again before it expires
A course from assignment to certificate

A failed quiz can be retried after the wait until the attempts run out; a certificate about to expire sends the course back to the start.

Watching

Quizzes

Results and certificates

ResultWhenCertificate
PassedEvery quiz in the course passed (or the course has no quizzes)Passing
CompletedNot every quiz passed, but the average of the best score on each quiz reaches the required average (80% by default)Completion, showing the average score
Finished, not passedThe average is below the required averageNone; the course can be assigned again for a fresh start

A certificate is issued automatically at that moment. It records the learner's name, the course, the company, the score and dates as they were that day, so later renames do not change it. Each has a serial number (initials, year and number, for example VV-2026-000108), a 16-character code and a QR code, and is signed so that any change to it is detected.

If the course has a renewal period, the certificate expires that many months after it was earned.

The public check page

Anyone can check a certificate without signing in: scan its QR code, or go to the portal's check page (/verify) and type the code. The page shows one of:

Every check is logged. More than 60 checks from one address in 10 minutes are paused.

Renewals

When a certificate will expire within 30 days (a company setting; 0 turns renewals off), the course is assigned to the learner again, due on the expiry date, and they get a "Time to renew" email. A revoked certificate, or one that expired more than 30 days before, is left alone.

Emails and when they go

EmailToWhen
WelcomeLearner or supervisorWhen they are added with an email address, or on "Send the welcome email again". Gives the sign-in address and username, never the PIN or password
Course assignedLearnerWhen a course is assigned
ReminderLearnerThe set number of days before the due date (3 by default; 0 = none)
OverdueLearnerOnce, the day after the due date, unless someone already pressed Remind. Remind sends it again, at most once a day
Time to renewLearnerWhen a course is assigned again for renewal
Supervisor summarySupervisorDaily, or weekly on Mondays, from 6 AM company time, only when there is something to report

Emails go only to people with an email address, in their language. A company can turn off all learner emails with the "Email learners" setting; supervisors still get their summaries. No email is ever sent twice by mistake.

Which setting applies

  1. If the system admin locked the setting, the system value applies to everyone.
  2. Otherwise, the company's own value applies, if it set one.
  3. Otherwise, the system default applies.

A value set on a single video by the system admin (required watching, pass mark) comes before the company's value. Changing a setting never rewrites a result already recorded.

Signing in and out

Troubleshooting

Most problems are a locked account, a missing email address, or a video not watched far enough. Find the message or problem below.

Signing in

Problem or messageWhat to do
"Your account is locked"4 wrong PINs or passwords in a row lock the account. A supervisor (for their groups) or the company admin chooses Unlock, or New PIN if the PIN is forgotten
Forgot the PIN or passwordAsk your supervisor or company admin for a new one. It shows once on their screen
"Too many failed sign-ins from this device"Wait 15 minutes, then try again with the right PIN
"This company's account is not active"The company is suspended. The company admin contacts the training provider
"The page expired. Please try again."The form was open too long. Reload the page and sign in again. If it happens every time, tell your account manager
"This company's access to training has ended"The company's license ended more than 14 days ago. The company admin contacts their account manager to renew it.
"You were signed out after 10 minutes without activity"Normal on a shared device. Sign in again; watched videos and passed quizzes are kept.
The password reset email does not arriveThe account needs an email address on file (the company admin adds it). Check the spam folder. A link works once, for 60 minutes; ask for a new one if it expired. Learners with a PIN ask their supervisor instead.
Signing in or out takes a long timeTell your account manager: the cause is on the server, not on your phone or computer.

Training

Problem or messageWhat to do
"Take the quiz (locked)"Watch more of the video. Skipped parts do not count; the page shows how much is left
"Try the quiz again after..."Wait until the time shown. A new set of questions is drawn
"No attempts left"The quiz is closed. When the course ends "Finished, not passed", the company admin assigns it again for a fresh start
"This course is not available right now"The course was taken back to draft or the company no longer has it. Ask the company admin
"The video could not load"Check the connection and reload the page
"Your progress could not be saved"Check the connection. The page keeps trying; nothing watched is lost once it reconnects

For admins and supervisors

ProblemWhat to do
A learner is skipped when assigningThey already have the course open, or a result that has not expired. Change the due date on Assignments instead
Cannot add a person: seats are fullDeactivate people who have left, or ask the account manager for more seats
Cannot delete a groupOnly an empty group that was never used for an assignment can be deleted. Move its learners first
A supervisor cannot see a learnerThe learner is not in one of the supervisor's groups. Change the learner's group or the supervisor's groups
No Remind button for a learnerThere is no email address on file. Remind them in person, or add their email
An email did not arriveCheck the person's email address and that "Email learners" is on. Activity log > Emails sent shows Sent, Waiting or Not delivered. Ask them to check the spam folder
Emails stay "Waiting"Emails go out from the server every 15 minutes. If they wait for more than an hour, tell your account manager
A certificate shows "Not valid"It was revoked, the code was mistyped, or the record was changed. Compare the code on the paper with the one on the Certificates page
A certificate shows "Expired"Its renewal date passed. The course is usually assigned again automatically before that
